Terms & Conditions

These Terms & Conditions apply to all products and services supplied by Proactive Graphics.

By placing an order with us, requesting our services or purchasing products through our website, you agree to these Terms & Conditions.

1. About Proactive Graphics

Proactive Graphics provides graphic design, signage, vehicle graphics, stickers and related products and services.

We are a UK-based business and supply products and services to customers in the UK.

2. Estimates and Orders

Estimates are provided based on the information available to us at the time of estimating.

An estimate is not a confirmed order until you have accepted the estimate and any required payment has been received.

Estimates are normally valid for the period stated on the estimate. If no period is stated, prices may be subject to change.

We reserve the right to correct obvious pricing, description or availability errors.

Additional work or changes requested after an estimate has been accepted may result in additional charges.

3. Payment & Production

Your order is confirmed once payment has been received. No production work will begin before payment has been received, unless otherwise agreed in writing.

Once payment has been received, we aim to produce your product(s) within 5 working days.

The production time begins from the date payment is received and applies to orders where all required artwork, information and approvals have been provided.

Production times may be longer for bespoke or more complex orders, and we will advise you where this is the case.

Once your order has been completed, it will be dispatched using the delivery service selected or stated at the time of ordering. Where Royal Mail is used, delivery times are subject to Royal Mail's service and are outside our control.

4. Custom and Personalised Products

Many of our products are made specifically to your requirements.

This may include:

  • Custom stickers

  • Personalised stickers and labels

  • Vehicle graphics

  • DIY vehicle graphics kits

  • Bespoke signage

  • Custom artwork and design work

Because these products may be made specifically for you, they may not be eligible for cancellation or return once production has started, except where required by law or where the product is faulty or not as described.

Please check your order details carefully before confirming your order.

5. Copyrighted Images, Logos, Fonts & Other Artwork

We will not knowingly print, cut or reproduce copyrighted images, logos, fonts or other intellectual property where the customer does not have the appropriate permission or licence to use them.

By supplying artwork, images, logos, fonts or other content to Proactive Graphics, you confirm that you have the necessary rights or permission to use and reproduce that material.

We may refuse an order if we believe the requested work may infringe the copyright, trademark or other intellectual property rights of another person or business.

Proactive Graphics will not be responsible for claims arising from material supplied by the customer where the customer did not have the necessary rights or permissions.

6. Artwork and Design Services

Where Proactive Graphics is creating artwork for you, design charges may apply.

Artwork and design charges cover the time required to create, amend, prepare or set up artwork.

Where applicable, artwork charges will be confirmed before work begins.

If you provide your own artwork, it should be supplied in a suitable production-ready format where possible.

Suitable formats may include:

  • AI

  • EPS

  • Editable PDF

  • Other suitable vector formats

If supplied artwork requires additional editing, tracing, recreation, resizing or preparation, additional artwork charges may apply.

7. Proofs and Approval

Where a design proof is provided, you are responsible for checking the proof carefully before approving it.

This includes checking:

  • Spelling

  • Names

  • Telephone numbers

  • Email addresses

  • Website addresses

  • Colours

  • Sizes

  • Vehicle details

  • Layout

  • Other relevant information

Once artwork has been approved, Proactive Graphics is not responsible for errors that were present in the approved proof.

Changes requested after approval may incur additional charges and may delay production.

8. Vinyl Labels

All vinyl labels are cut from self-adhesive vinyl unless otherwise stated.

Labels will be supplied with application and care instructions where applicable.

Please follow the supplied instructions carefully to achieve the best possible result.

The suitability of a vinyl label can vary depending on the surface, environmental conditions and method of application.

Proactive Graphics cannot be held responsible for application problems caused by unsuitable surfaces, incorrect preparation, incorrect application or failure to follow the supplied instructions.

9. Product Details – Vinyl Labels

Before ordering, please measure the maximum width and height of the area where you intend to apply your labels.

Please choose a maximum height and width that will fit comfortably within the available area.

Unless otherwise agreed, words or names will be produced on a single line. If you wish to place separate words or labels underneath each other, this can be done by you during application.

The height selected when ordering represents the maximum height of the label(s).

Where multiple labels are ordered as a set, we will keep the labels in proportion to one another so that they remain visually uniform.

As a result, the width of individual labels may vary depending on the length of the text.

Where multiple labels are ordered, we will use the longest label text as the basis for sizing and will produce the remaining labels to maintain the same proportion.

No label will exceed the maximum width specified when ordering.

Please ensure that the measurements and sizing information provided when placing your order are suitable for your intended application.

10. Customer-Supplied Artwork and Content

You are responsible for ensuring that any artwork, photographs, logos, text or other content you provide to us is suitable for use and does not infringe the intellectual property rights of another person or business.

By supplying artwork or content to us, you confirm that you have the necessary permission or rights to use it.

11. Colours

Colours displayed on screens can vary from the final printed product depending on the device, monitor and display settings.

Printed colours may also vary slightly between materials, print runs and production methods.

Where an exact colour match is required, please discuss this with us before ordering.

12. Vehicle Graphics and Measurements

Where vehicle graphics are produced for a specific vehicle, we rely on the vehicle information and measurements provided to us.

You are responsible for providing accurate vehicle details where requested.

Vehicle models can have variations in body shape, trim levels, doors, handles, windows, mouldings and other features.

Where appropriate, we may request photographs, measurements or vehicle templates before production.

13. DIY Vehicle Graphics Kits

Our DIY vehicle graphics kits are supplied for self-installation.

Designed and produced by us and fitted by you.

Unless specifically agreed otherwise, Proactive Graphics does not provide installation or fitting services and does not attend customer premises to install the graphics.

Before applying your graphics, you are responsible for ensuring that:

  • The vehicle surface is clean and suitable for application

  • The application conditions are appropriate

  • You have read and understood the installation instructions

  • You have the necessary time, equipment and ability to complete the installation

We provide installation guidance to help you apply your graphics, but we cannot guarantee the result of a customer-installed application.

Once the graphics have been supplied, we cannot accept responsibility for damage caused by incorrect installation, unsuitable application conditions, poor surface preparation or failure to follow the supplied instructions.

If you are unsure whether you can install the graphics yourself, please contact us before ordering.

14. Production Times

Estimated production times will be provided where possible.

Our standard aim is to produce orders within 5 working days of payment, provided that all required information, artwork and approvals have been received.

Production times may vary depending on the product, quantity, artwork requirements and current workload.

Production times do not normally include delivery time.

We will make reasonable efforts to meet estimated times but cannot guarantee a specific delivery date unless this has been expressly agreed in writing.

15. Delivery

Orders are dispatched using the delivery service stated at the time of ordering.

Where Royal Mail or another third-party courier is used, delivery times are outside our direct control.

You are responsible for providing an accurate delivery address.

We cannot accept responsibility for delays caused by incorrect delivery information supplied by the customer.

16. Damaged or Incorrect Orders

If your order arrives damaged, incorrect or incomplete, please contact us as soon as possible.

Where possible, please provide photographs of the packaging and the product so that we can investigate the issue with the delivery provider or production team.

If a product is faulty or not as described, we will deal with the matter in accordance with your statutory rights.

17. Returns and Cancellations

Nothing in these Terms & Conditions affects your statutory rights.

For standard, non-personalised products, you may have cancellation rights under UK consumer law where applicable.

However, cancellation rights may not apply to products that are made to your specifications or clearly personalised, once production has started.

If you wish to cancel an order, please contact us as soon as possible.

Once production or custom work has started, cancellation may not be possible.

18. Payments

Payment must be made using the payment method offered at the time of purchase or as otherwise agreed in writing.

For design or bespoke work, we may require payment or a deposit before work or production begins.

We reserve the right to withhold production or delivery until the required payment has been received.

19. Ownership of Artwork

Unless otherwise agreed in writing, the original design concepts, artwork and creative work produced by Proactive Graphics remain our intellectual property until any agreed transfer of rights has taken place.

Payment for a finished product does not automatically transfer ownership of the underlying design or source artwork.

Editable/source files are not automatically included with design work.

If you require source files or transfer of copyright, this should be agreed before work begins and may incur an additional charge.

20. Use of Completed Work

Unless you ask us not to, we may use photographs or examples of completed work for our portfolio, website, social media and marketing purposes.

If your project contains confidential information or you do not want your work used for promotional purposes, please let us know before production.

21. Website Information

We make reasonable efforts to ensure that information on our website is accurate and up to date.

However, product descriptions, images, prices and availability may occasionally change.

Images are provided for illustrative purposes and may not always represent the exact final product.

22. Limitation of Liability

We will provide our products and services with reasonable care and skill.

Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful.

We are not responsible for losses resulting from circumstances outside our reasonable control.

For DIY products, we are not responsible for damage caused by incorrect installation, unsuitable application surfaces, incorrect preparation or failure to follow installation instructions.

23. Events Outside Our Control

We will not be responsible for delays or failure to perform our obligations where this is caused by circumstances outside our reasonable control.

This may include, for example:

  • Courier delays

  • Material shortages

  • Equipment failure

  • Power or internet outages

  • Severe weather

  • Fire or other damage

  • Industrial disputes

  • Government restrictions

  • Other unforeseen circumstances

Where possible, we will keep you informed of significant delays.

24. Privacy

We collect and use personal information in accordance with our Privacy Policy.

25. Changes to These Terms

We may update these Terms & Conditions from time to time.

The latest version will be published on our website and will apply to orders placed after the updated Terms & Conditions come into effect.

26. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the applicable courts of England and Wales.
